The Agency-Client Relationship: A Framework for Better Collaboration

Agencies and clients often talk past each other. The client thinks the agency is moving too slow. The agency thinks the client is giving murky feedback. Both are probably right. The fix isn’t better tools — it’s better process.
The alignment meeting
Before any contract is signed, we run a 90-minute alignment session with the core stakeholders. The agenda:
- Define success — in one sentence, what does winning look like in 6 months?
- Surface fears — what are you worried will go wrong? Name it now so it won’t fester.
- Establish voice — what’s the tone of our Slack channel? Direct? Playful? Formal? There’s no wrong answer, but there is a wrong assumption.
- Agree on cadence — weekly check-in? Biweekly? Async-first? The calendar is the contract.
Feedback that actually helps
Bad feedback: “I don’t like the blue.” Good feedback: “This feels too corporate. We need something warmer that speaks to our Gen Z audience.”
We train every client on the “I like / I wish / What if” framework:
- I like — what’s working (reinforces good decisions).
- I wish — what could be better (constructive, specific).
- What if — new ideas to explore (collaborative, not prescriptive).
The red-flag protocol
Every partnership hits friction. The difference between the ones that survive and the ones that crash is how early that friction gets surfaced. We have a two-week rule: if something feels off, you have two weeks to name it. After that, it becomes resentment, and resentment is expensive.
The best client relationships we’ve had didn’t start with the biggest budgets. They started with a mutual willingness to say “I don’t know” and figure it out together.
